Executive Assistant – Legal Firm

Location: US - Philadelphia Employment Type: Full-Time Department: Legal Administration Position Summary

We are seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive administrative support to senior partners and legal executives. The ideal candidate will have a strong understanding of legal environments, excellent communication skills, and the ability to multitask effectively in a fast-paced office.

Key Responsibilities

  • Manage calendars, schedule meetings, and coordinate travel arrangements for partners and attorneys
  • Draft, proofread, and manage correspondence, legal documents, and reports
  • Act as liaison between executive leadership and internal/external stakeholders
  • Maintain confidentiality of sensitive documents and legal proceedings
  • Assist with case preparation, filing, and documentation management
  • Organize and support client meetings, including handling logistics and minute-taking
  • Coordinate billing, expense reporting, and other administrative tasks
  • Monitor deadlines, court dates, and compliance requirements
  • Support project management and implementation of internal initiatives

Qualifications & Skills

  • Proven experience as an executive or legal assistant, preferably in a law firm
  • Strong knowledge of legal terminology and procedures
  • Exceptional organizational and time-management abilities
  • Advanced proficiency in MS Office (Outlook, Word, Excel, PowerPoint)
  • Excellent written and verbal communication skills
  • Ability to handle confidential information with integrity
  • Professional demeanor and client-focused attitude
  • Degree or certification in Business Administration, Legal Studies, or related field is an asset
